As an independent IT consulting and software architecture practice, Voltrix Technologies LLC provides specialized technical deliverables, architectural assessments, and high-impact advisory sprints. Because advisory services commit senior engineering personnel and generate bespoke intellectual property, the terms outlined below govern project cancellation, milestone reconciliation, and refund eligibility.
Engagement cancellation prior to work inception
Procedures and financial terms for terminating a confirmed project before technical analysis or design sprints commence.
Clients may cancel an agreed advisory engagement at any time prior to the formal kickoff meeting or initial technical discovery session.
Upon receipt of written cancellation before discovery inception, any advance retainer deposit will be refunded in full, minus non-recoverable third-party payment processing fees.
Cancellation notices must be submitted in writing via email to VoltrixTechnologies@proton.me with the subject line 'Formal Cancellation Request'.
In-flight consulting & commenced engagements
Accounting and fee allocation once technical discovery, architectural review, or engineering sprints are underway.
Once an engagement has commenced and initial architectural reviews, system audits, or stakeholder discovery interviews have begun, fees associated with completed milestones are non-refundable.
Work performed will be billed proportionally against the established project milestone schedule or logged engineering advisory hours.
Any delivered technical artifacts—including architectural blueprints, API schema specifications, and evaluation reports—remain client intellectual property according to the primary agreement.
Notice period for retained & ongoing engagements
Requirements for pausing, rescheduling, or concluding ongoing fractional advisory agreements.
Multi-sprint engagements and monthly architecture retainers require a standard 30-day written cancellation notice.
During the 30-day notice window, scheduled architectural consultations, code reviews, and deliverable commitments continue as planned.
Unused retainer allocations within the final billing cycle cannot be rolled forward or refunded once the notice cycle terminates.
Eligibility & circumstances for refunds
Explicit distinctions between refundable administrative scenarios and non-refundable technical deliverables.
Refundable scenarios: Duplicate invoice payments, pre-kickoff cancellations confirmed in writing, or mutually documented non-performance prior to asset delivery.
Non-refundable deliverables: Fully executed technical architecture reviews, completed legacy modernization roadmaps, and delivered API integration specifications.
All approved refunds will be credited back via the original payment method within 7 to 10 business days.
Dispute resolution & formal contact inquiries
Escalation procedures, response turnaround targets, and official contact channels.
If you identify a billing discrepancy or wish to dispute an advisory invoice, contact our billing administration within 14 calendar days of issuance.
Voltrix Technologies commits to acknowledging billing inquiries within 2 business days and issuing a formal determination within 5 business days.
We strive to resolve all contract or billing concerns through direct, good-faith dialogue.
